The Marketing Admin Assistant – Applicant Outreach plays a critical role in ensuring a high-quality applicant experience and maintaining a strong talent pipeline for our field marketing and canvassing teams. This part-time position is responsible for high-volume applicant calling, booking interviews, conducting rapid callbacks, and guiding new hires through early onboarding steps. The ideal candidate is organized, people-focused, and thrives in a fast-paced environment where responsiveness and communication matter.
Hourly Base Pay: $15.00 to $20.00 per hour
· Conduct high-volume outreach calls to applicants from job boards and internal systems.
· Rapidly follow up with new applicants to book interview times and maximize show rates.
· Coordinate and schedule interviews for Canvassers/Appointment Setters and additional roles as needed.
· Manage applicant communications through phone, email, and text (8x8 or similar).
· Track applicant activity, call outcomes, and scheduling details using iCIMS, Indeed, and Microsoft tools.
· Provide light onboarding assistance, including document reminders, confirmations, and pre-start communication.
· Maintain accurate records of interviews scheduled, no-shows, and successful contacts.
· Support the Marketing and Recruiting teams with administrative tasks as needed.
· Assist with filling urgent hiring gaps by prioritizing high-need markets or roles.
· Represent the company professionally and ensure every applicant has a positive interaction.
· Prior experience in customer service, call center, high-volume outbound calling, lead generation, scheduling, or administrative support.
· Familiarity with applicant tracking systems (iCIMS preferred) and job platforms (Indeed).
· Comfort working in a performance-based environment with clear expectations and goals.
Skills Needed:
· Strong communication and phone presence.
· Excellent organizational skills and attention to detail.
· Ability to manage multiple tasks, priorities, and follow-ups.
· Proficiency with Microsoft products (Outlook, Teams, Excel, Word).
· Ability to work independently while staying aligned with team goals.
· Comfortable with fast-paced, metrics-driven work.
